Procedures are providing a clear explanation of how things should be done in a workspace environment. At the same time, procedures can be applied to broad range of issues in the office. To give you an example, there could be procedures for the following:

  • Asking for paid leave
  • Dealing with customer complaints
  • Filing incident reports

There are instances too wherein procedures are called as SOPs or Standard Operating Procedure.

Why Procedures are needed?

These documents are detailed and it could be written in a step by step outline or sometimes, as a flowchart.

For some other procedures, it can be useful by including screenshots illustrating exactly what must be done for every step of the way.

Procedures are written as well to be able to cover situations that are involving most employees. However, they could be written as well in outlining specific duties or tasks of specific employees. With this, it can ensure that there would be a smooth transition if ever one employee has left the company and another is taking over his or her duty.

Smooth Flow of Operation

A good example of this includes IT employees. One of the jobs of these professionals is to handle block access to company’s technology whenever someone’s terminated. That employee has to document every step of what he/she has done so by that, another employee will be able to take over of these responsibilities if needed.
